Help / FAQ
Practical answers for getting started, reviewing evidence and working with suppliers.
How do I get started?
Create an account or sign in, then create or join a company workspace. Set up the company information and reporting period before collecting records for that period. If you need access to an existing company, ask its administrator for an invitation.
What should I upload to Smart Inbox?
Upload source material relevant to your reporting work, such as utility bills, fuel receipts, spreadsheets or policies. Check the upload screen for the supported file types and size limits.
Remove unnecessary personal information first. For workforce reporting, use a privacy-safe summary rather than identifiable payroll records where possible.
Are extracted values automatically approved?
Extraction produces information for review. Use the review queue to compare proposed values with the source, check the reporting period and units, and correct errors before confirmation. An AI suggestion is not evidence of accuracy.
Why is an emissions calculation still pending?
A calculation may need an activity quantity, a suitable emission factor or additional setup for the reporting year. Check the activity’s status and the emissions workflow for the missing information. Do not substitute a guessed figure to clear a pending state.
How do supplier requests work?
A buyer selects the information to request and sends a secure response link. The supplier follows the response steps, provides relevant records and evidence, checks the share, and submits the response.
If a link has expired or the request is no longer active, contact the requesting company. Treat the link as confidential and do not forward it to people who are not authorised to respond.
Does ESG Passport share my whole workspace?
Passport workflows share selected information through access and sharing controls. Review the recipient and requested information before approving access. Manage existing grants in the passport workspace; remember that recipients may retain copies already received.
Why can’t a document be deleted immediately?
A document may be subject to a retention schedule or a legal hold. A deletion request can be scheduled for a later date, and a legal hold can block deletion. Ask your company administrator about the record’s retention requirements.
Is a generated report ready to publish?
Review reporting boundaries, framework requirements, facts, evidence and unresolved items before finalising a report. Generated text needs human review. Your organisation remains responsible for its disclosures; use qualified advisers or assurance providers where needed.
I can’t see a company or reporting period. What should I do?
Check that you signed in with the invited email address. Ask the company administrator to confirm your membership and permissions. Do not create a duplicate company just to work around an access problem.
